Refuge Worldwide is now taking applications for the position of Accounts and Administrative Coordinator. This role is based in Berlin, involving a combination of office and remote work. We are looking for a motivated and meticulous person who will be responsible for supporting Refuge Worldwide's operations while ensuring smooth day-to-day administrative functions. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities.

We have a 24/7 output of music and conversation alongside weekly events, editorial content and creative community work throughout the year. Key Info:
Being fluent or at a B2+ level of German in this particular role is essential.
The deadline for applications is April 28th, this role will begin late-May. Candidates are required to be present at the office for a minimum of 2 days per month.
This role is approximately 20-30 hours per month.

Responsibilities of the role include:
Finance Management:
Prepare outgoing and track incoming invoices for payments
Manage finance tracking to ensure organized operations, controlled correspondences, and efficient filing systems
Ensure payroll process is completed within timelines and accuracy, managing all communication with employees and freelance staff
Preparation and submission of monthly accounts for VAT purposes, done correctly and on time
Ensuring all VAT payments are correct and on time
Handle all communication with accountants office regarding Finanzamt submissions and ensuring company bookkeeping is up to date
Compile monthly company wide reporting and financial summary tracking spreadsheet/documentation
Assist with financial forecasting
Contribute to quarterly review meetings
Administration
Handling licensing and permits
Lead on compliance and regulation issues
Liaising with local and national authorities
Organising utilities and utility payments
People
Assist with onboarding and off-boarding staff
Produce and file all documentation in respect of data management laws
Monitor employee holiday requests and sick leave notices
The ideal candidate will be experienced with:
German tax and employment laws
LexOffice & Lexware
Health Insurance providers and processing

Organized, reliable, enjoy collaboration and have a strong attention to detail
A strong communicator who is a solution-focused team player
Empathetic, approachable and tuned in with people around them
Skilled in motivation, management and teamwork
Priority will be given to those with refugee backgrounds, BIPoC, people from the LGBTQIA community, disabled people, women and gender nonconforming people, or anyone else who feels that due to their background, they face access difficulties.
