We are committed to protecting your personal data. This privacy policy is intended to inform you, as a visitor to this website and user of our mobile application, about how we handle your personal data

What data we collect and why

Newsletter subscription

When you subscribe to our newsletter, we collect your email address and record your consent. We use this to send you updates about Refuge Worldwide programming, events, and news.

Your email is stored and managed by Mailchimp (Intuit Inc.). You can unsubscribe at any time via the link in any newsletter email.

Legal basis: Consent (GDPR Article 6(1)(a))

Show and artist submissions

When you submit a show proposal, we collect:

  • Your name, email address, and phone number

  • Artist and guest names, pronouns, and biographies

  • Artist and show images

  • Instagram handles and show genres

  • Show details (date, time, type, description)

This information is stored in our content management system (Contentful). We use it solely to review, schedule, and publish your show.

Workshop applications

When you apply for a workshop, we collect contact details (name, email, phone), pronouns, DJ experience, and — optionally — background and identity information you choose to share to support equitable access to our programming.

This data is stored in a private Google Sheets spreadsheet and used solely for the purpose of selecting and communicating with workshop participants. All workshop application data is deleted at the end of the relevant workshop.

Studio bookings

Studio bookings are handled via Cal.com. When you make a booking, your data (name, email, and booking details) is processed by Cal.com. Please refer to Cal.com's privacy policy for details on how they handle your data.

Community feedback forms

Our community and residents feedback forms are hosted by Tally.so. Data submitted through these forms is processed by Tally. Please refer to Tally's privacy policy for details.

Website analytics

We use Fathom Analytics to understand how visitors use our website. Fathom is a privacy-first analytics tool — it does not use cookies, does not track you across websites, and does not store any personal data. The aggregate statistics it provides (such as page views) cannot be used to identify you.

Audio and video playback

Our radio archive uses audio and video streams from SoundCloud, Mixcloud, and YouTube. When you play content through these embedded players, those platforms may collect data about your listening or viewing activity in accordance with their own privacy policies.

For live stream video, we use Mux. Mux may collect technical data (such as playback quality and device information) to deliver the stream.

Community chat

Our website embeds a Discord community widget. If you interact with it, your data is processed by Discord Inc. See Discord's privacy policy for details.

Mobile Application

When you use our mobile application, we collect minimal data to provide radio streaming functionality:

Data collected: - App preferences and settings (stored locally on your device only)

How we use this data: - To maintain your personalized app settings

Data storage: All app preferences are stored locally on your device and are never transmitted to our servers or third parties. Uninstalling the app removes all locally stored data.

Permissions used: - Audio playback controls: To manage radio streaming - Network access: To load content and stream audio - Background processing: To continue playing audio when the app is minimized

Legal basis: Legitimate interest (GDPR Article 6(1)(f)) for providing core app functionality

Data retention: App preferences remain on your device until you delete the app or clear app data.

Our website itself does not set first-party cookies. Fathom Analytics is cookieless by design. Some third-party services embedded in our site (such as Discord, Cal.com, and audio/video players) may set their own cookies when you interact with them.

Data retention

  • Newsletter: We hold your email until you unsubscribe

  • Show submissions: Retained for as long as the show is part of our archive

  • Workshop applications: Deleted at the end of the relevant workshop

  • Analytics: Aggregated, non-personal data only — retained indefinitely

  • Studio bookings: Managed by Cal.com per their retention policy

Your rights

Under the GDPR you have the right to:

  • Access the personal data we hold about you

  • Correct inaccurate or incomplete data

  • Erase your data ("right to be forgotten")

  • Restrict how we process your data

  • Object to processing based on legitimate interests

  • Withdraw consent at any time (where processing is based on consent)

  • Data portability: receive your data in a portable format
